Introduction
- As a result of the changes to data protection introduced by GDPR, we have implemented an “Interim Policy” for communication.
- This article outlines how Avar will conduct itself in the interim
- until all our databases have been updated
- everyone has been “opted in” (or the contact entry is deleted in our DB) and the new Privacy and Protocol Policies (PPP) have been agreed by all.
From Friday 25th May 2015 (23:59)
- All Telephone Conversations will continue to be recorded.
- Links to Telephone Recordings will not be forwarded to anyone (including previous telephone recordings).
- Email communication will be limited.
- We will only reply to emails on the assumption that by sending Avar an email you have “opted in” to receive replies.
- We will not send attachments by email, whatsoever for any reason.
From Tuesday 29th May (9:00)
- Communication will be primarily by Telephone, Telegram, Emails (limited) or SMS.
- We will also continue to use SMS (limited) where we have mobile telephone numbers for contacts and they have opted in.
- All documents will be uploaded to Amazon WorkDocs OR direct links to the document (PDF).
- Direct links to documents will be by SMS or Telegram, whichever is appropriate.
- Portal Access will remain live throughout.
- All our databases, “Boomerang” or SPF (Special Purpose Files) will still be available via Portal.
- We will respond to generic queries by sending links to articles.
- The Directors will be telephoning every Client, to re-consider their needs and amending General Rules of Engagement to suit the current needs.
- All “Client Contacts” will be identified and grouped into categories e.g. Clients, Contact @ the Client, Supplies to the contacts, etc.
- Each category of “contact” or “organisation” will be telephoned for the “opting in” process.
- They will be required to setup a password of their choosing.
- This will be inserted into the “opting in” checklist.
- The remaining contact e.g. Suppliers etc will be asked to “opt in” online, themselves by completion of the relevant form.
